Description

The Inventory Coordinator has a lead role in the handling, tracking and maintenance of all inventory and event materials. Relies on experience and judgment to plan and accomplish goals in a timely manner.

Responsibilities

  • Meets with the Inventory Team in coordinating the transportation of inventory to and from event venues
  • Assists the Inventory Team in the preparation, production, setup & breakdown of events
  • Acts as the Inventory Lead on events where necessary
  • Assists the Production Team in managing vendor load outs where necessary
  • Loads and unloads event inventory at warehouse
  • Oversees the upkeep and general maintenance of the REM work vehicle
  • Obtains instructions for the disposition or handling of inventory post event
  • Works alongside the Senior Inventory Manager in managing all inventory request checklists
  • Pulling inventory, fulfilling orders, identifying overlaps
  • Coordinates all shipments/tracks returns
  • Ensures that all inventory was returned to the warehouse post event
  • Assist with upkeep of the inventory catalog
  • Exhibits leadership in continuing all warehouse functions while other Inventory Team members are traveling/out of office
  • Is able to work independently and take initiative on various projects
  • Leads in the receiving of all deliveries, informs Production Team where necessary
  • Assist in the organization and maintenance of warehouse facility
  • Is accountable for ensuring that all inventory is cleaned and in great condition prior to being delivered on-site

Requirements

  • College degree preferred with a minimum of four years of directly related work experience
  • Able to work long hours including nights, weekends & overnights
  • Preferably has own vehicle; Must be willing to drive larger trucks
  • Ability to multi-task and prepare for several events simultaneously
  • Exceptional organizational skills
  • Able to communicate (verbally and in writing) in a professional manner
  • Physical dexterity with the ability to lift up to 75 lbs.
  • Strong knowledge of Microsoft office
  • Anticipates issues and is able to resolve them quickly
  • Demonstrates a positive, can-do attitude with all assignments

The Event Producer leads and manages all aspects of events, project teams and subcontracted vendors. Oversees the event development process, from initial proposal phase to onsite event implementation. Effectively manages internal event teams regarding design, production, and status. Fosters high level contact with new and existing clients.

Responsibilities

  • Creates and manages all event budgets
  • Maintains constant client contact
  • Negotiates contracts with clients, venues and select vendors
  • Manages client’s directives, goals and overall expectations
  • Develops and manages event timelines
  • Creates and updates Event Program and Technical Run of Show
  • Directs Meeting Agendas and oversees Design Presentations
  • Oversees and delegates responsibilities to designated Production Managers and Production Coordinators
  • Miscellaneous:  Site visits, tastings, guest list management, site flow analysis, transportation plans, concept development
  • Assists with mentoring Senior Production Managers and Production Managers
  • Oversees or directs event teams from installation through the event and break-down.

Requirements

  • Bachelor’s degree required
  • A minimum of 7 years of experience in event production
  • Significant experience working with high profile clients, non-profit organizations and event production
  • Confidence, poise, tact and diplomacy to develop and build strong relationships with senior level clients and foster partnerships
  • Strong organization, communication and project/time management skills
  • Supervisory, management and team leadership skills
  • Ability to perform complex tasks and to prioritize multiple projects
  • Demonstrates Class A brand standards in work quality and ability to provide superior service to our clients
  • Business and financial acumen

Description

The Production Manager leads and manages all pre-production and set up and breakdown of assigned events under the supervision of and in partnership with the Production Coordinator, Event Producer and Designer.

Responsibilities

  • Interprets the vision of Designers as tangible design and décor while ensuring this vision fits within budget, venue and production timeline
  • Creates and updates all production-related documents including design notes, site visit notes, floor plans, production schedule, call list, transportation schedule, inventory requests, staffing plan and schedule and all other printed or digital materials used in production
  • Sources venues, décor, linens, entertainment, stationery, welcome bags, etc. and obtains pricing and availability for all items
  • Manages onsite set up, build, and break down of events; oversees all aspects of the venue, on-site vendors, and production staff
  • Oversees all administrative tasks pertaining to assigned events: schedules and attends design meetings, vendor meetings, site visits, submits all debits, purchase orders, and check requests in a timely manner
  • Trains and supervises interns and production assistants required for events

Requirements

  • Bachelor’s degree required
  • A minimum of one to three years of experience in event production
  • Strong organization, communication and project/time management skills
  • Knowledge of business and management principles involved in planning, resource allocation, production methods, and coordination of people and resources
  • Ability to work under pressure, meet deadlines and prioritize multiple projects

Description

The Designer owns design for all events on which they are assigned as the lead designer. Responsible for creative research and creative construction. Is accountable to budget parameters. Provides creative instruction for event development and execution. Effectively works with internal teams regarding design and production. Fosters client relationships through client contact at a design level. Works closely with the Design Director to ensure all design work is of the highest quality, up to company standards and on brand for the client. Leads and directs the work of others. A wide degree of creativity and flexibility is expected.

Responsibilities

  • Provides design and overall creative direction to all assigned client projects.
  • Provides input and recommendations on venues and suppliers to be presented to the client.
  • Develops and communicates the event concept and design, specifically in the details such as theme, composition and integration of multi-faceted components of an event such as venue(s), color, sound, lighting, décor, and any other relevant attributes of the creative planning process
  • Meets with clients and with internal teams to understand the scope of the event.
  • Ensures designs are completed on time and adhere to the established specifications, standards and budgets.
  • Presents and promotes event concept and design to clients
  • Performs site visits to all selected sites for assigned client events
  • Leads calls and provides design input with outside suppliers
  • Oversees the development of a Design Planning Timeline based on the Event Planning Timeline.
  • Offers design direction for floor plans and renderings
  • Provides content for design presentations and participates in presentation
  • Provides ballpark pricing to internal teams for recommended rental, linen and décor items
  • Reviews and approves floral sample photos and stationery proofs
  • Selects service-ware design based on menu selection
  • Provides design direction and communicates details of production to event teams and vendors, to ensure product implementation is executed at the highest level
  • Collaborates closely with event teams and vendors, communicating all relevant event design changes or modifications through to final production detail including set-up, rehearsal, event production and post event activities with all staff in the creation and finalization of the event plan
  • Consistently deliver on brand, elevated design concepts, while adhering to established budgets and production timelines
  • Directs lighting look for Design Presentations and participates in Design Presentation setup
  • Working with the Inventory and Production  groups, responsible for creative specialty builds and communicates all information and a plan for execution to the internal Production team
  • Responsible for all design implementation on site at client events
  • Participates in weekly Department brainstorms and meetings to share knowledge within the department.
  • Responsible for new supplier research in the categories of bands/specialty entertainment, photographers, videographers, stationers, and graphic designers

Requirements

  • Bachelor’s degree
  • A minimum of 7-10 years of experience in the creative field required, specifically working with high profile clients, non-profit organizations and event concept and design
  • Experience working with high profile brands or clients preferred
  • A solid track record of increasing responsibility in a creative role
  • The ability to work independently within the culture of strong collaboration in a group process
  • Relies on extensive experience and judgment to plan and accomplish goals
  • Works autonomously with minimal supervision
  • Exceptional presentation skills coupled with sales acumen to promote the company Class A brand standards and its services
  • Attention to detail, critical thinking, creative ability, and willingness to do ‘whatever it takes’ to achieve the project objective
  • Able to work in a fast-paced environment and work effectively under pressure
  • Exceptional organization, communication and project/time management skills
  • Flexibility to change and adapt to considerable variety in the workplace

Description

The JWennes Events internship program will offer each participant the opportunity to gain an in-depth understanding of many facets of the event planning process and how the JWennes team creates, designs, and implements its “one of a kind” events. Interns will participate in a weekly one hour class that will help them to gain knowledge about the event industry.

Semester Curriculum

Throughout the course of your internship, you will gain a combination of virtual and hands-on educational experiences. Those include but are not limited to:

  • New Intern Orientation and Process Review
  • Weekly “Master Classes” Reviewing Key Event Documents, Design Development and Deep Diving into JWennes Processes
  • Behind the Scenes Pre-event Production Assistance
  • Weekly One-on-One “Office Hours”
  • Assisting with On-Site Event Production and Execution

Winter/Spring Semester
